What is the Tasks App in Oracle Prime about?
With the Lean Scheduling functionality in Oracle Prime you have access to the Planning Board (below). This enables the user to create customized views for their information in the Work Plan screen in the Tasks App.
In this small example, Activity E1-MIN-AAA – EWP1: Added Work has six tasks on the board.
When a new task is added to an activity it is initially shown in the Hopper (manual entries or imported tasks). The initial sequence can be set by dragging and dropping the tasks right from the Hopper (left side of the screen) or dragging/dropping the tasks while working sequence iterations after the tasks are in the planning board.
This allows easy tracking of individual tasks that are required to complete the activity while collaborating interactively with all players involved. The tasks have Hand-offs available to assign the logic of the tasks within the activity.
The planning board functionality provides a very visual vehicle to view the tasks attached to individual activities as well as among many activities. Color coding on the tasks is generated from the company assigned to the task. At a glance users can easily recognize which tasks a specific company is responsible for over the day/week or multiple weeks. Users can tell at a glance how a delay in any of the tasks a specific company is responsible for can potentially impact other tasks and other companies. This can help keep the conversations moving forward and help prevent items required to complete a task from being ‘lost in the weeds’. Our example has some parallel tasks on this activity – a very common occurrence. Here we can easily analyze what impact a delay in any task could potentially have on the overall activity.
There are two types of tasks available in Oracle Prime – a public task (in the example above) and private tasks.
Public: Visible to everyone in your assigned company and the Prime Projects owning company.
Private: Only visible to you (the user).
You may be wondering what you might use a ‘Private’ task for. They can be used for any task you need to carry out to complete the activity the task is assigned to. Perhaps you need to make a call, authorize an advance payment, or touch base with a subcontractor on a specific item. Projects are busy. Using this function provides additional visibility to help ensure nothing is forgotten.
There are a number of information pieces in the Task set up.
In the task details general tab the task is assigned to the Company carrying out the work, to the activity, and the dates for the tasks are set via the due date and the duration.
Note: Pull planning is a lean construction practice where every stakeholder starts with the end goal and works backwards. Pull planning techniques allow stakeholders to identify potential roadblocks that could appear down the road. By identifying these road blocks early, steps can be taken to avoid them.
The Company responsible for the task uses the Commitments tab to commit to the due date. If a due date is missed, in ‘Reasons Missed’ the reason is selected and the new task Due Date is recommitted. Task due dates are tracked in Oracle Prime.
Hand-offs are the predecessors/successors of the tasks.
(Hand-offs are only assigned to the tasks within a single activity.)
Each task can have Discussions posted to it. This creates an ongoing record of task discussions/changes.
The hand-offs screen in the Tasks App (above) gives another view of the task information. The user can create hand-offs in the graphics, or use any of the Tasks screens shown previously. Oracle Prime displays icons on the task graphics which address task status items. Hover over the icon and a text display is available. The user can create customized views for their information in the Hand-offs screen.
The task list screen in the Oracle Prime Tasks App also displays task status icons and additionally gives the user access to column information on the tasks. The user can create customized views for their information in the task list screen.
The Analysis screen in the Tasks App displays the current status of the tasks in your project, displaying a number of very useful data items.
